1. RECEIVING/RETURNING YOUR CHROMEBOOK

1a. Chromebooks Issued by ISD191

  • Chromebooks are an exciting addition to our learning tools and necessary for access and completion of many learning activities. They are critical to access and create high-quality learning resources.
  • Chromebooks will be distributed to BHS and middle school students during student orientations in August and to BAHS students during the first few weeks of school. 
  • Students will be provided a Chromebook overview and will receive guidance on appropriate use. Students are required to adhere to the ISD191 Acceptable Use Policy (AUP) and other district policies.
  • The following items and accessories will be distributed and recorded in the district inventory system:  
    • Chromebook with asset tag affixed to device, managed by the ISD191 district management console. Asset tags must remain on the device at all times.
    • Charging Cord with AC Adapter
    • Protective Case. Devices must remain in the issued case at all times.

1b. Returning Your Chromebook

  • Students continuing in ISD191 for the following year will be allowed to take the Chromebook home over the summer. 
  • Students leaving the district must return district owned Chromebooks and accessories prior to withdrawal from ISD191 to the School Office.
  • Families leaving during the summer must return Chromebooks to the district Welcome Center, Door #1, 200 W. Burnsville Parkway, Burnsville, MN 55337. Phone: 952-707-4180.
  • If a Chromebook and/or accessory is lost please connect with your teacher or visit the Media Center. All Chromebooks that are found should be brought to the Media Center.
  • If a Chromebooks is stolen, please report it immediately to the Media Center. Chromebooks that are reported lost or stolen will be immediately disabled.

2. TAKING CARE OF YOUR CHROMEBOOK 

2a. General Care

  • The Chromebook issued to students is an important tool for learning and should be taken care of appropriately.
  • Students are responsible for bringing a fully charged Chromebook to school each day.
  • Chromebooks are expected to remain in the protective case at all times.
  • Students are encouraged to take their Chromebook home every night, regardless of whether it is needed or not.  (At the very least, it will need to be charged.)
  • All district labels and barcodes must remain on the equipment.
  • Chromebooks must remain free of any personalization, such as: writing, drawing, stickers, etc. Students may decorate the Chromebook case with school-appropriate stickers and decals.
  • Be mindful of food, drink, etc. that may come in contact with the Chromebook when it is stored or in use.
  • We want the Chromebooks to be safe and in working order.  Supervise the Chromebook so it is not in danger of being stolen.
    • If an unsupervised Chromebook is found, students will notify a staff member immediately. All unsupervised Chromebooks will be brought and held in the Media Center.
    • Students are responsible for ensuring their Chromebooks are used or stored in a secure place.
    • Upon discovery that a Chromebook has been stolen, report the information to building administration immediately.
  • Chromebooks should not be stored in a vehicle (at home, school, or otherwise), for security and temperature control reasons.

2b. Carrying Chromebooks

  • Please transport Chromebooks with care.
  • No additional accessories should be plugged in (power cord, USB drives, etc) when in transport.
  • Chromebook lids should always be closed when moving.

2c. Screen Care

  • The Chromebook screens are most susceptible to damage. 
  • Pay particular attention to avoid putting pressure on the top of the Chromebook when it is closed or placing anything in a bag that will put additional pressure against the cover.
  • The Chromebooks are touch screen and can be used with your hand or a stylus. Be careful not to poke the screen with anything that will mark or scratch the screen surface.
  • Do not place anything on the keyboard before closing the lid (pens, pencils, papers, etc).
  • Clean the screen with a soft, dry microfiber cloth or anti-static cloth.  
    • Do not use window cleaner, household cleaners, or other sprays, as they may damage the Chromebook.

2d. Technical Support

  • BHS is partnering with The Geek Squad to provide technical support service for the Chromebooks. The Geek Squad Help Desk is located in the BHS Media Center and will be run by Geek Squad Agents as well as BHS students in our IT Pathway courses.

  • Chromebooks that are broken, or fail to work properly, should be taken to the Help Desk as soon as possible so that the issue can be properly resolved. 
  • The Help Desk will provide multiple services to support Chromebook usage and repair.

  • Do not take district-owned Chromebooks to an outside computer service for any type of repairs or maintenance.

3. USING YOUR CHROMEBOOK AT SCHOOL

3a. Chromebooks Left at Home

  • Students are expected to have their Chromebook present on a daily basis.
  • There will be a limited number of Chromebooks available for checkout through the Media Center.

3b. Chromebooks Under Repair

  • Loaner Chromebooks may be issued to students when they leave their Chromebook for repair at the Help Desk.
  • Students using loaner Chromebooks will be responsible for any damages incurred to the loaner while in possession of the student. 

3c. Charging Your Chromebook

  • Chromebooks must be brought to school each day fully charged.
  • The power cord should be kept in a safe location in a backpack or at home. 
  • Be prepared: students  may not have the opportunity to charge the Chromebook in the classroom.
  • Replacement or additional power cords are available for purchase in the BHS Store.

3d. Account Security

  • Students will be using their ISD191 Google Apps username and password daily. It is important to keep this password confidential.
  • Secondary students may change their password through our district’s single sign on system (SSO).

3e. Backgrounds

  • All backgrounds and other media must be school appropriate and adhere to district policies

3f. Sound

  • Sound should be muted unless permission is obtained from the teacher for instructional purposes. 
  • Headphones or earbuds  may be used in class at the discretion of the teacher.

4. SAVING YOUR DIGITAL WORK WITH A CHROMEBOOK

4a. Saving to your Google Apps Account

  • With a wireless Internet connection, Google documents and files can be accessed from any device, anywhere, at any time.
  • All items will be stored online.
  • Prior to leaving the district, or graduating, students are encouraged to transfer any documents to a personal account. Additional information will be shared in the spring.
  • Students can use their Google Apps offline if they do not have internet access. Files will sync once an internet connect is found.

4b. Saving to your Chromebook

  • It is not recommended to save documents/files to your Chromebook.  
    • In the event that repairs need to be done, files saved to the Chromebook could be deleted.
    • Save all files to the Cloud (you have unlimited storage) to ensure you will have continued access.

5. OPERATING SYSTEM ON YOUR CHROMEBOOK

5a. Updating your Chromebook

  • Chromebooks automatically update to the most recent version of the Chrome operating system thus eliminating time-consuming installs, updates, or re-imaging.   
  • Students should power down the Chromebook weekly for the updates to take effect.

5b. Procedure for Restoring the Chromebook

  • Technical support for the operating system is handled by the Help Desk.

6. ACCEPTABLE USE GUIDELINES CHROMEBOOK

6a. General Guidelines

  • Students are responsible for ethical and educational use of technology.
  • Students are responsible for adhering to the ISD191 Acceptable Use Policy (AUP)
  • Students are responsible for Copyright and Plagiarism Laws.

6b. Privacy, Safety, and Digital Citizenship

  • Creating a community of  productive, ethical, and successful digital citizens is a top priority.  Ongoing Digital Citizenship information and lessons are provided to all students. Common Sense Media is an excellent resource for more information.
  • Common Sense Media Family Tip Sheets
  • As required by the Children’s Internet Protection Act (CIPA), Internet access is filtered in our school district. The Chromebooks are managed by ISD191 and internet filters will stay with the device even when used at home or other location physically outside the school.
  • Filtering restricts access to inappropriate content, but ISD191 cannot guarantee that all inappropriate content will be blocked. No filter is as reliable as adult supervision.  It is the responsibility of parents or guardians to help monitor a student’s technology usage at home.

6c. Legal Property

  • Chromebooks issued are ISD191 property. All  ISD191 Board Policies apply.
  • Use or possession of hacking software is strictly prohibited and violators will be subject to discipline. Violation of applicable state or federal law will result in criminal prosecution or disciplinary action by the District.

6d. Electronic Communication

  • Electronic communications sent/received should be related to educational needs.
  • Electronic communications are not private and subject to inspection by the district at any time.

6e. Consequences

  • The student in whose name a system account and/or hardware is issued will be responsible at all times for its appropriate use.  
  • The district cooperates fully with local, state, or federal officials in any investigation concerning or relating to violations of computer crime laws.

7. INSURING AND REPLACING YOUR CHROMEBOOK

7a. Chromebook Insurance and Warranty

  • Student chromebooks have a 3 year limited warranty against manufacturer defect provided by ISD191.

7b. Accidental Damage Claims

  • First Claim: Covered by ISD191 Insurance
  • Second Claim: $60 Student Fine 
  • Third Claim: Full Cost of repair/replacement and/or Disciplinary Action Taken
  • The district reserves the right to charge for the entire replacement cost if negligence is determined. Examples of negligence include, but are not limited to losing or destroying your Chromebook.
  • Manufacturer defects covered under warranty will not be subject to the above criteria.

8. FILTERING INFORMATION FOR PARENTS

In compliance with the Federal Children’s Internet Protection Act (CIPA) and board policy, the district filters all Internet connections using an appliance and software called iBoss. The purpose of the filter is to help assure that students do not get access to inappropriate materials online. The district filters at the district level which means that filtering settings apply to all grade levels and to students, staff, and visitors.

Access to the Internet using school-issued Chromebooks is also filtered by iBoss, regardless of where the access occurs - at school, at home, or on any other network.

The practice of the district has been to filter at a minimum level. At the current time, we block these major categories: malware, porn/nudity, adult content, gambling, porn-child, and web-proxies. We also force the “safe search” mode in Google Images and YouTube.

Parents who wish to have greater restrictions placed on their children’s access have some options:

  1. We highly recommend all student use be monitored when possible by adults and create good guidelines for technology use. The Family Online Safety Institute <https://www.fosi.org/> is a good starting point for learning about “good digital parenting.”

  2. Parents may wish to check with their Internet service provider to see what tools they offer to filter Internet content. Comcast, for example, offers Parental Controls. These restrictions will only be in place when the child is using the home network.

  3. There are extensions that can be added to the Chrome OS that allows customized filtering. There is a small cost for these services and parents need to set up and manage the extension. FoxFilter is an example of such a program.

Please remember that no filter is 100% effective and adult supervision is still the most effective means of keeping our children from harm.


9. CHROMEBOOK FAQs

What is a Chromebook?
Chromebooks are mobile computing devices that run Google’s Chrome operating system. Chromebooks have a fully functioning internet browser so students will be able to utilize email, access the internet, and complete work online.

Do you need Internet access to use a Chromebook?
Chromebooks work best when connected to the internet. However, some Chromebook functions are able to be performed offline (e.g. Gmail, Google Drive, apps). It is important to understand though that after completing work offline on a Chromebook it needs to be connected to wifi to sync the work to the cloud. 

Does a Chromebook need virus protection?
Chromebooks are designed so that they do not require virus protection.

What if students want to bring their own devices?
We highly encourage students to utilize the Chromebook issued by the district.

Can I opt my student out of receiving a Chromebook?
The Chromebook is a necessary tool to be used in the instruction process. Students cannot opt out of a district issued Chromebook and may be required to use it during the school day.

What about insurance?
The Chromebook is insured by ISD191. Refer to the damage claims section above for more information.
 
Who else can use my child’s device?
Your child will be held responsible for Chromebook usage. We do not authorize others to use a student’s Chromebook.

What kind of technology support will we have outside of school hours?
Technology support will be provided during school hours. Students will have access to the Help Desk located in the Media Center.

Is there an option to buy the Chromebook?
No, Chromebooks issued by ISD191 are not available for purchase at this time.

Can students purchase apps for the Chromebook?
Apps that are required for instructional purposes will be provided by the district. Additional free apps are available for students to use as desired. After a student graduates or leaves the district and their ISD191 Google Apps account is deleted the student will lose access to their apps, including apps that were purchased by the student. For this reason, we discourage students from purchasing apps. Apps associated with an ISD191 Google Apps account need to comply with ISD191 policy.  

Do students have to bring their Chromebook home?
Students are encouraged to bring Chromebooks home each night. At a minimum, the Chromebook will need to be charged.

Will the Chromebook replace all my child’s textbooks?
Our goal is to provide the most appropriate high-quality learning resources for our students. As more content becomes digital, we anticipate that fewer print textbooks will be used. This is a long-term process and we will have both digital and print resources used next year.
